The merchant field guide

Your merchant account readiness checklist.

The strongest starting point is a complete, consistent description of the business. Use this checklist to prepare for a provider conversation without sending sensitive documents before they are requested through an appropriate channel.

By Alderwell Payments · Merchant education · Provider policies and availability can change.

1. Establish the business and the catalog.

Prepare your legal entity name, trading name, establishment location and ownership information for a formal application. Make sure the store identifies the same business. Keep identity and banking documents for the provider’s secure process, not an introductory web form.

Build a complete product list with ingredients or specifications where relevant. Add supplier records, available testing and required authorizations appropriate to the business. Explain any restricted shipping destinations and the review needed before adding new markets.

2. Describe real payment activity.

Gather recent processing statements if the business has a history. Include refunds, disputes, average and largest order sizes, and the timing of fulfillment. Disclose previous account closures or holds and keep the corresponding notices.

For a new store, identify projections as projections. Explain the basis for expected orders, the inventory or fulfillment plan and any seasonal launch. Keep one-time purchases, subscriptions and wholesale activity distinguishable.

3. Make the store ready to inspect.

Review product descriptions, pricing, shipping, refunds, cancellations and customer support. Follow the full journey on mobile. Check that subscriptions show the recurring amount and timing, and that the business can deliver on the terms published.

List the technical requirements separately: platform, currencies, gateway preferences and recurring billing. Before accepting an offer, request the complete schedule of charges, reserves, settlement conditions, termination provisions and approved product scope.

Common questions

Should I upload financial documents to this assessment?

No. The assessment is a starting brief. Do not include card numbers, bank credentials, government identifiers or private application documents.

What if I do not have processing statements yet?

Say that the business is new. Prepare a credible operational plan and clearly labeled forecasts; do not present estimates as transaction history.
